New Employees

WHEN A NEW EMPLOYEE STARTS WITH YOUR COMPANY,
THEY MUST COMPLETE BOTH THE I-9 AND THE W-4

U.S. DEPARTMENT OF JUSTICE, IMMIGRATION & NATURALIZATION (FORM I-9)
This is the agency which regulates and requires all employers to document the hiring of all employees eligible to work in the United States.

REQUIREMENTS:

Use the form I-9 and instructions to document employment eligibility for every employee. There are no registration requirements. There are, however, specific documentation requirements for every employee hired 11/6/86 or later, which must be kept on file at the business and available for unannounced inspection by the U.S. Citizenship and Immigration Services Please make copies of the required identification for all employee files. W-4 / DE-4:

Each employee must complete the W-4 which will instruct you, the employer, on how much taxes to withhold. Copies should be kept in all employee files. If the employee claims more than 10 exemptions then there are some special rules.

Some employees could have different federal vs. state withholding. The DE-4 is for California and it is only required if the employee wants a different state withholding. This form may be obtained by clicking [HERE] or by contacting the Employment Development Department.
